How to add a sign up box to your web site

To create a website visitor signup box when using Constant Contact follow the steps below.

Note: This is an advanced topic and requires previous HTML knowledge.
Log into Constant Contact.

If you don’t have an account you can try if free for 60 days. Click here
http://newsletterville.constantcontact.com

Go to My Settings > Site Visitor Signup.

Click the "Start Wizard to generate HTML code" link under Step 1.
Select a form, button, or text link style. To view all of your style options at once, click the "Preview All Styles" link.

Customize the text, font, and colors to match your website. If applicable, you can select from image options as well. Please note that the options available to you depend on which signup box style you select in the previous step.

Email the HTML code to yourself and save for future reference.

To add the site signup box to your website, copy and paste the code into your page source and upload it to the web.

Notes:
If you are NOT familiar with HTML or do not have access to your web domain, forward the signup box code to your Webmaster and ask him or her to add the code for you. Or call Sorrell Associates & Newsletterville.com for help.

The site visitor signup box is designed specifically for websites and not for email communications. As a result of this, the HTML code you generate does not work in the Advanced Editor.
If you paste it into the email creation wizard, it will not appear as it did when previewed in the signup box wizard.

Email addresses entered into the signup box must be in xxx@yyy.zzz format and no more than 80 characters. Special characters such as ( ) < > [ ] , ; : \ etc. are generally not allowed. Similarly, non-ASCII characters such as € † ‡ ™ etc. are prohibited. This is the only level of verification for invalid email addresses currently in place.

How to put your HTML newsletter on your web site

Open your newsletter in your e-mail program or via Constant Contact. http://newsletterville.constantcontact.com

On the tool bar click edit and select all.

Click copy.

Then open your web site development tool:
FrontPage, Dreamweaver, Godaddy, Joomla, etc... (Whatever program you or your web master uses to update your web site.

Create a new page and Paste your newsletter in this page.

Check the entire newsletter to make sure everything pasted correctly. IE: Pictures, links, content, etc...

Save the newsletter with a name you can easily remember. IE: Newsletter Name, Month, Year. (TheBottomLineInBusiness_December_2008)

Then publish it to your web site.

View your newsletter via the Internet to make sure it looks good.

Also, if you have a Newsletter Page on your web site that shows the list of all your newsletters, it would be good to add a link to this newly added newsletter.

How to get through the spam filters

Creating a powerful newsletter to market your business doesn’t do any good if it looks like SPAM and/or ends up in a spam folder. Many spam filters will automatically delete or move to a folder anything that it deems as spam. Your goal must be to avoid having this happen to your carefully created newsletters.

Spam filters look at your e-mail messages and the words within it and compares it to the list of spam e-mails already identified. It is uncertain of all the science behind how all the spam filters work, and the creators keep this a secret, because the spammers would figure out how to get around them.

However; there are some elements that will most likely make your messages look like spam and therefore go into a spam or junk folder.

Make sure your newsletters and marketing messages follow these suggestions:

DON'T USER ALL CAPS in the subject line because it increases your changes of going into a spam folder.

Avoid words like “Free”, “Viagra”, “Casino”, “Mortgage”, “Sex”, etc… in the subject line too.

Don’t use repeating dollar signs $$$$$$$$$$$$$$$$$.

Be careful with punctuation in subject lines - content filters are counting any punctuation, particularly exclamation points and question marks, as spam indicators. Use them sparingly.

Watch commands or calls to action - many spam subject lines put verbs as calls to action in the subject line. Those most often include "Get," "Open," "Download," "Buy," "Save," Make, "Take" and "Respond."

Be careful with pronouns – more and more spam is coming with "You," "Your" and "I" as the first word in the subject line and is quickly being filtered. Use these sparingly.

Don’t use text messaging talk – stay away from using LOL, TBD, ETC… when sending your newsletters and marketing messages.

There are a lot of elements you need to know and keep track of in order to get your newsletters to be read. If you don’t have time to stay on top of the many changes and strategies, let us help you.

CanSpam law – Staying Compliant!

Staying compliant with the CanSpam law is very important. Fines can be very substantial for an offense. Of course legitimate marketers attempt to do most things correctly; however, I have noticed that many marketers are missing some key elements to keep them compliant.

Here’s the “cliff” notes version of what will keep you compliant.

  1. You must have permission to e-mail a person and have obtained their e-mail address legitimately.
  2. The from line and reply to line must have a legitimate e-mail address.
  3. The recipient must have the ability to unsubscribe or opt out easily. You can use a system like http://newsletterville.constantcontact.com to automatically keep you compliant.
  4. Your e-mails must have a physical address and contact information in every e-mail message. Many people don’t do this but it is simple to correct.
  5. Your subject line can’t be misleading. It should reflect the contents of the e-mail message.

I know many of you are thinking… “I get e-mail messages everyday that don’t have these elements” and you are right. Even legitimate marketers make some of these mistakes. Don’t fall into this trap and think that you do not have to follow the CanSpam law just because someone else didn’t. Stay safe!

How to put your e-newsletter marketing on auto-pilot

Use an internet based program. We suggest Constant Contact.
This is an inexpensive and effective program to create and send eye-catching HTML email newsletters, announcements and promotions, in html and text formats, and track email campaign results.

• Do not use too many pictures or heavy colors – with pictures make sure to resize them if necessary and use key word descriptors.

• Keep the format simple
• Add a newsletter sign up form on your web site - Capture email addresses from your website using a visitor signup box. Customize the box with different styles to best match your website.
• Customize the form your site visitors see when they signup - edit signup form text, add your logo, and select site visitor details to capture on the form.
• Create an auto-responder thank you for joining our community message
• Create a welcome message people will see once they sign up for your newsletters - sent to new contacts who signup using your visitor signup form.

How to get your e-mail newsletters to be read.

First you need to make sure it gets to their "in-box"

Some keys are the size of the graphics, size of the overall newsletter, content, subject line, and from line.

All caps in the subject line increases your changes of going into a spam folder. Watch out for words like “Free” and “Sex” in the subject line too.

The best type of content for your readers.

Helpful information that helps the reader be better at what they do.

Keep your content and articles focused on the readers needs, wants, challenges, etc... For example; if your prospects (or the industry that they are in) has trouble with turn-over, have an article to help them lower their turnover. You can do this for multiple industries and issues.

Quick tips and articles that they can read in 2 minutes.

Article size 800 words or fewer. We like to keep the articles (whenever possible) between 300-500 words each.

Use "quotation marks" for the title of each articles or the lead article.

Use some of the suggestions from my earlier blog posts with free reports, ebooks, contests, etc…

Remember the 80/20 rule about the content.

Continually measure and do research on what is working.

Never send chain messages using your primary e-mail address or the e-mail address that is in your newsletters.

Where Do I Get Content For My Newsletters…That People Want To Read?

Content is what makes newsletters go around. So make sure your content is rich and useful to the end reader. You don’t have to write all the content yourself. You can use content that is already written just by adding the byline of the author (with permission of course) Or we can provide content and/or a writer for specific information.

Watch out for free content – they may contain hidden links, trackings, or a long byline. This promotes the author more than you and could harness a computer virus. A couple of sources are: E-zine.com and Ezinearticles.com – Make sure you read their use policy.

When to e-mail your newsletter

According to a recent study the most popular day for sending e-mail campaigns is on Thursday with nearly ¼ of all campaigns delivered on this day. Monday is the least favorite day with the exception of the weekends. Monday is thought to be the delete mode day. Monday has the lowest open rate and click through rate. Click thru is defined as someone has clicked on a link within your newsletter that directs them somewhere. Web site, email, etc…

Campaigns sent on Wednesday’s have both the highest open and click-thru rates. Second is Thursday and third is Tuesday.
Wednesday has a 27% open rate and 5% click thru rate
Thursday has a 26% open rate and 5% click thru rate
Tuesday has a 23% open rate and 4% click thru rate

This has changed days for the past several quarters. I personally like Tuesdays because it is usually in the top two spots in open rate / click thru percentages.This report is based on 26.7 million email messages.

Of those 91.9% were delivered – 17.2% were opened – 2.7% were clicked through.

What these numbers certainly tell you is that you need to send your newsletters to a lot of people, and can do so with minimal cost. Also, that you need to have a very clean list of contacts to send to. With e-mail marketing it is a numbers game. But it can be effective.
The best times are between 11 AM and 4PM. (as of July 2007)

My current statistics are 89.3% delivered (not quite as high) however my open rate is 52.1% almost double the averageand my click through rate is 16.7% which is 6 times the average.
Now the reason my stats look this way is mainly because I have been nurturing for a long time…but the results are incredible.

Plus use a welcome message to thank them for signing up for your newsletter. This is also a good reminder for them.

I suggest using both marketing avenues of printing and the internet for the best results.
However; Regardless of the format make sure each page contains all points of contact. Name, address, phone, fax, web site, e-mail, etc….

Alternate Newsletter Format styles.

Are questions I get all the time. So I will go over the pro’s & con’s of each format.

Print – People love receiving mail. I have seen our newsletters all over and many prospects & clients keep every issue for reference. Print is on the rebound and is getting a lot of attention. Just what you want! In fact, according to a national Newsletter Readership Study, the average awareness level for a professionally produced printed newsletter is 68%. The highest of any print media. The challenge with a printed newsletter is the cost to have it printed & mailed.
If you are going to print your newsletters follow these proven tips: For Print: after your newsletter is complete, (design, format, content, etc…) to print use a heavy weight paper like 60# - 80# white glossy or beige. You can print in full color or use just one color like reflex blue, forest green, or something that matches your company image. Reflex blue has the highest recall rate for newsletters other than full color. (Recall meaning people remember receiving the newsletter)
I have not seen enough real benefits of using full color to justify the expense. Other than it looking great. One color on quality paper works great. Another great way to keep printing costs down and still have the full color feel is to create a template layout without the articles and have it pre-printed like letterhead or stationary in color. Then just insert the content in each issue. You can use a copier to do this in your office or at a local printer.
If you e-mail your newsletter to a printer, make sure you convert it to a PDF format and not send the word document. Double check the newsletter after you convert it.(Never send a word document to your prospects and clients.)
Always use a first class stamp and address it to a specific person, not General Manager.
Labels are fine…you do not have to hand write the addresses.


Keep in mind that landing one client can pay for years of newsletter service & printing. So be consistent and persistent.

PDF format – great format for posting on your web site. Keeps the look and feel over any ISP and operating systems. Plus you can send it to a printer if you need copies to hand out at a conference or to mail to prospects & clients. You can use this format to e-mail too. Very versatile format.
Cons – people are afraid to open attachments from people they don’t know. If you e-mail an announcement that your newsletter has been posted on your web site, they may not follow the link. So you will need to carefully craft your message to get them to follow your link and read your newsletter.

HTML format – (E-zine or E-Newsletter) This is where the newsletter is in the body of the e-mail and looks like a web page with graphics & pictures. Great format because people don’t have to go anywhere to view your newsletter. Adding links are easy and you can track what people are reading. Increases visitors to your web site.
Cons: you cannot control how others see your newsletter. Many people have their programs set to block images. And some companies may not allow HTML to get through their filters. It takes time to craft your newsletter so it looks good and will get through these filters.

Text format - This format is good because you don’t have to worry about any fancy graphics or formatting. It is text only. Typically this type of format is small in size due to the lack of pictures & graphics.
Cons: This format limits you on the look. You have to watch carefully on the content and wording to get people to read your message. Many people stop reading after the first couple of lines. You may loose people quickly.

MSWord – Great program. You already know how to use this program. You can easily set up a template, add graphics & pictures, and insert your content.
Cons: large file size when saved. When you send over the internet you cannot control the look. Graphics & pictures may move, columns may shift, and it could look horrible.
So don’t use this format for sending. Convert to a PDF format first.
Post on web site – All of your newsletters should be posted on your web site if you have one. Archive each issue too.

E-mail format alternative.
  • Full-content format – entire newsletter is in the e-mail body.Pros & Cons- 1500 words or fewer – preferably around 1200.
  • Digest format – headlines, links, and summaries of all stories with your newsletter posted on your web site.
  • Link-only format – Here you house your newsletter on your web site with all the content in a PDF or html format. You put only the link to the newsletter in your e-mail announcement.
  • Preview pane function and format. Survey data indicates that 49 percent of email readers only look at the first few lines in the preview pane to decide if they want to continue.

Best Practices For Contact Management And Delivery Programs.

There are a number of contact management programs available. I suggest learning your program and possibly adding a second internet based program.

Using Act, Big Biller, Constant Contact, Outlook, AWebber, MailerMailer, GoDaddy, Bronto (to name a few) are all good programs. Also some web site hosting or ISP’s have this available too.
Check with your provider.

I personally like Constant Contact because they are powerful, low cost, and will do everything you need for an HTML & text newsletter delivery system. Plus many of you already use one or both of these systems. Therefore, we can create your newsletter right into your internet based program. This will save you time from having to make any changes. The key is to really know your program and know what you want to get out of it. Ask the provider if the program gives you specific statistics like; open rates, click throughs, etc… (If those things are important to you) Or if you don’t have time, outsource this. We will track it all for you.

How do you start your Nurture Marketing process?

  • Create a list of potential clients/candidates in your niche market. Very focused list of businesses you want to work with. Never stop marketing to them unless they ask you to or you are convinced they won’t become a client.
  • Target SLDM - senior level decision makers. C-level VP’s, HR, etc…(Know the decision makers and influencers in your market)
  • Make a goal to add new prospects weekly, bi-weekly, monthly, etc... My Goal: 10 weekly
  • Be persistent & vigilant. Send your newsletter to them on a regular basis.
  • Choose a contact management system for keeping track of your contacts.

What is Nurture Marketing?

Nurture marketing is the consistent communications with your candidates, clients, & prospects.
It is a system for building relationships. This process takes a commitment but is fairly easy to maintain.

Nurture Marketing is not a quick fix to your marketing challenges; it is a 52 to 66 week process. (Can produce results faster) It is like gardening, it takes time, effort, and attention. And many times you have to wait for the results.

It is being top of mind with clients, candidates, & prospects.
It is being in contact every 21-30 days, via a newsletter, letter, fax, e-mail, article, etc... It is keeping your name in front of your prospects & clients so when they need something…they think of you first and not your competition.

Should you have a newsletter

I am asked almost daily, "Should I have a newsletter for my company?"
